TEAM (Teaming to Educate for Agricultural Mastery), a 501(c)(3) nonprofit organization (“TEAM”, “we”), operates this website, www.team-ag.org, and TEAM’s sign-in service at auth.team-ag.org. This policy explains what information we collect, how we use, store and share it, and the choices you have.
Signing in with Google or Microsoft
TEAM board members, staff and members sign in at auth.team-ag.org. Instead of a password, you can choose “Sign in with Google” or “Sign in with Microsoft”. If you do, we ask that provider only for your name, email address and a unique account identifier (the “openid”, “email” and “profile” permissions; Microsoft also calls reading this basic profile “User.Read”). We do not ask for access to your email, files, contacts, calendar or anything else in your Google or Microsoft account, and we never see your Google or Microsoft password.
- How we use it: only to connect your Google or Microsoft account to the TEAM account you already have, sign you in, and show your name on the site. Signing in with Google or Microsoft never creates a TEAM account: if no TEAM account has your verified email address, sign-in is refused and nothing is saved to your account or our sign-in database; our server’s technical log briefly records that a sign-in was refused.
- Where it is stored: in the databases of TEAM’s sign-in service and this website, on servers operated for TEAM in the United States. It is encrypted in transit. Our sign-in service also keeps the access token the provider issues when you sign in (and a refresh token, if the provider sends one). It allows only the same basic profile access described above; we never use it after sign-in, and it is kept with the link between your accounts until that link is removed.
- Who we share it with: no one. We do not sell, rent, transfer or disclose it to anyone else, except when the law requires us to.
- How long we keep it: while your TEAM account is active. When an account is closed, or if you ask us, we delete the connection between your TEAM account and your Google or Microsoft account.
- Removing our access: you can remove TEAM’s access at any time at myaccount.google.com/permissions (Google) or account.live.com/consent/Manage (personal Microsoft accounts). For a work or school Microsoft account, ask your organization’s administrator. You can then still sign in with your TEAM password.
TEAM’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular, we do not use Google or Microsoft user data for advertising, we do not sell it or give it to data brokers or information resellers, we do not use it to train artificial intelligence or machine learning models, and we do not use it to decide anyone’s creditworthiness or for lending. People at TEAM do not read it, except with your permission, to keep the service secure, or when the law requires.
Other information we collect and how we use it
- TEAM accounts. Accounts are set up by TEAM; you cannot register yourself. An account holds your name, email address, username and, if you use one, a password, which is stored only in scrambled (hashed) form. We use it to let you sign in and to know who made changes.
- Event submissions. When you submit an event, we collect your name and email address, the event’s details, and any event contact information you give. TEAM staff use your name and email to review the event and email you about it; they are not published. The event’s details, including the event contact information you choose to give, are published on the TEAM calendar and in the events newsletter.
- Event registration. When you register for an event through this site, we collect your name, email address and any answers you give on the registration form. We use them to run the event and to email you about it, such as your confirmation and any changes.
- TEAM’s contact records. TEAM keeps records of its members, partner organizations and the people who take part in TEAM events or ask to hear from us, in a contact database (CiviCRM) on TEAM’s servers. Records can include names, organizations, email addresses, phone numbers, mailing addresses, event participation and email preferences. We use them to run TEAM’s programs and keep in touch.
- Newsletter and other email. TEAM sends a monthly events newsletter and other email to members and contacts. Every newsletter has an unsubscribe link. Newsletter emails record whether they were opened and which links were clicked, so we can see what is useful; you can avoid the open tracking by not loading images in the email.
- Spam protection. The “Submit an Event” form uses Google reCAPTCHA to tell people from automated spam. reCAPTCHA collects information about your device and how you use the page, under Google’s Privacy Policy and Terms of Service.
- Comments. If you leave a comment on a page that allows them, we collect what you enter in the comment form, plus your IP address and browser details to help detect spam. A scrambled code made from your email address may be sent to the Gravatar service to show your profile picture, if you have one there.
- Security and server logs. Like most websites, this site and the sign-in service record each visit’s IP address, browser, the page requested and the time. A security service (Wordfence) checks IP addresses against lists of known attackers to block attacks. We use these records only to keep the site secure and working, and keep them for a short time.
Cookies
We use only the cookies the site needs to work: cookies that keep you signed in (to this site and the sign-in service), cookies that remember your session while you fill in a form, Google reCAPTCHA’s cookies on the “Submit an Event” form, and Cloudflare’s security cookies, which help protect the site from automated traffic. If you leave a comment, you can choose to save your name and email in a cookie for next time. We do not use advertising or analytics cookies.
Who we share information with
We do not sell or rent personal information. We share it only:
- with service providers that help us run TEAM, only as needed for that service: Google Workspace, which handles TEAM’s email, including the newsletter; Google reCAPTCHA, for spam protection; Wordfence, for website security; and Cloudflare, which sits in front of this site and handles its traffic for security and speed (it processes your IP address and request details as our service provider);
- publicly, for event details you submit for publication;
- when the law requires it, or to protect the safety of people or the security of the site.
Where information is stored and how we protect it
This website, TEAM’s contact database and TEAM’s sign-in service run on servers operated for TEAM in the United States. Information is encrypted in transit (HTTPS). Access is limited to the people who need it to run TEAM, and administrator accounts require two-step verification. Backups are kept for a limited time so the site can be restored after a problem.
How long we keep information
- Account information, including a Google or Microsoft connection: while the account is active.
- Contact records, event submissions and registrations: as long as they are useful for TEAM’s programs and records, or until you ask us to delete them.
- Server and security logs: a short time, then they are deleted automatically.
Your choices
- Unsubscribe from TEAM email at any time with the link in each newsletter.
- Ask us to show you, correct or delete the information we hold about you, or to close your account, by emailing [email protected] (see also User Data Deletion). We may keep what the law requires us to keep.
- Remove TEAM’s access to your Google or Microsoft account as described above.
Children
This website is not directed to children under 13, and we do not knowingly collect their personal information.
Changes to this policy
If we change this policy, we will post the new version here and update the date at the top.
